Completing an Approval or Choice Step Action in TeamDynamix

Approval and choice steps are assigned to users as part of an automated service process. Many ITS services require your direct participation to move forward. These actions are required - the workflow will not continue until you complete your assigned step.

Taking timely action ensures your request is processed without delays.

This article outlines how you can do the following:

Taking Action in the Client Portal

Step 1 - Access My Approvals

  1. Go to support.ncat.edu
  2. Select the Services tab
  3. Click My Approvals

Step 2 - View All Pending Actions

  • You will see all workflows steps that are pending your action.
  • You may search by other statuses if needed.
  • Select:
    • Item (for example, Zoom Account Assistance) to see overall request details.
    • Step (for example, Zoom Account Issue) to take action.

Step 3 - Review Request Details

  • View a summary of the ticket request and requestor information.
  • Select the current worfklow step to proceed.

Step 4 - Complete the Workflow Step

  • The Current Workflow step page allows you to:
    • Approve or deny a request, or
    • Select a required choice.
  • This is the only action available for the step currently assigned to you.

Step 5 - After completing the step, you will be prompted to leave a comment for the record.

Your comment becomes part of the ticket history.


Email Reminder and Taking Action
  • When a workflow step is assigned to you, you will receive an email notification.
  • You will continue to receive daily reminder emails from supportnotifications@ncat.edu with *Requestor name from ticket filled in (Kendra Hammonds for this example)* until the step is completed.
  • The email includes a link that will take you directly to the action in the Client Portal.

Important:

  • The workflow will not continue until you take action.
  • Failure to respond will delay support and service delivery.

Failure to take action will prolong the time required to provide support.


Reviewing Past Steps

Step 1 - Confirm Action Completion 

  • After taking action you will see a Step Updated screen with a summary of what you completed.

Step 2 - View Past Actions

  1. Return to My Approvals.
  2. Select one or more statuses (such as Completed).
  3. Click Search to populate the results.

Step 3 - Review History

  • You will see a list of all past actions you have taken.
  • This history is stored in TeamDynamix and can be reviewed at any time for reference.
